Alkemics attaches great importance to privacy. The purpose of this Personal Data Protection Policy (the “Policy”) is to keep you updated on Alkemics commitments regarding the respect of your personal data

1 – Scope of Policy

This Policy applies to all processing of the personal data executed by Alkemics regarding:

users of the digital collaboration platform (the “Partners”), and

internet users browsing the Website.


Partners and internet users are hereinafter referred to together as the “Users” or “you”.

2 – About Alkemics’ services (the “Services”)

Alkemics provides retailers and manufacturers with a digital collaboration platform (the “Platform”) and with related services (hereinafter together as the “Services”, as described in further details in the Terms and Conditions of Use available at, allowing them to better collaborate. This will especially allow a manufacturer to:
• share its product catalogue with retailers in order to answer their demands or create new opportunities;
• discuss with the retailers;

3 – Collected data

Alkemics makes sure to collect appropriate, relevant and not excessive personal data, that are strictly necessary to achieve the purposes previously identified. Alkemics takes all appropriate measures to make sure that your data are accurate, complete and updated when necessary.

Alkemics processes personal data that the Users may communicate especially throughout the following steps:
– when creating an account on the Website;
– when using the Services;
– when browsing the Website;
– when the User agrees to receive newsletters or other commercial or marketing information from Alkemics;
– when you want to apply for a job offer at Alkemics.

Within this context, Alkemics may especially have to collect and process the following personal data:

– Identity : title, last name, first name, profession;
– Contact details: phone number, email address, company;
– Usernames: email and Platform login password;
– Information provided during the application process: CV, cover letter;
– Technical information and details relating to browsing on the Website and/or Platform, such as the IP address of your connection and your browser (see, in particular, Article 7 below relating to cookies);
– Transactions and payment details: specifics of the transaction, bank details;
– Any other information you directly and intentionally give to Alkemics during the use of the Website and/or the Services and/or in the contracts you may have concluded with Alkemics.

You undertake to provide Alkemics with personal data that are up to date, accurate, complete and non-ambiguous.

4 – Purposes of collection

Alkemics undertakes to fairly and lawfully collect and process your personal data. Purposes of the processing executed by Alkemics are clear, legitimate and defined.
Your data may especially be processed regarding the following purposes:
– To allow you to access / to use the Website and/or the Services (management of you access and use request and of your account). In that context, the legal basis of such processing if the performance of the contract between Alkemics and you;
– To process your transactions and payments. In that context, the legal basis of such processing is the performance of the contract between Alkemics and you;
– To manage the  commercial relationship with all of our providers and partners (management of the contract, orders, invoices, etc.). In that context, the legal basis of such processing is the performance of the contract between Alkemics and you;
– To send you commercial information about us. In that context, processing is based on the legitimate interest of Alkemics, and more specifically its economic interest in offering you personalized offers, in better understanding your needs and in providing suitable services;
– To analyze your browsing on the Website and/or your use of the Services for improvement purposes (please refer to Section 7 below relating to cookies). In that context, the legal basis of such processing is the legitimate interest of Alkemics, more specifically its economic interest to always improve its Website and its Services and to understand your needs in order to meet your expectations;
– To answer your questions and requests. In that context, the legal basis of such processing is either the performance of the contract when the request is related to the contractual relationship between you and Alkemics, or the legitimate interest of Alkemics, more specifically its economic interest to clearly communicate with you and to understand your needs and expectations;

– To follow your online application form posted on the Website. In that context, the legal basis of such processing is the legitimate interest of Alkemics, more specifically its interest to answer your application requests and to find suitable candidates for the available positions at Alkemics.

5 – Recipient of collected data

Alkemics does only communicate your personal data to specific entitled recipients, in accordance with provisions of the applicable regulations. Alkemics may specifically grant access to your personal data to companies belonging to its group and its possible third parties service providers, acting as subcontractors, in order to carry out actions related to the Website and Services of Alkemics (specifically services including hosting, storage, assessment, data processing, databases management or computer maintenance). Those third party providers only act on the instructions of Alkemics and can only access your personal data to carry out the purposes pursued at the time of the collection of those data. They shall be bound by the same standards of security and confidentiality as Alkemics.

Furthermore, your personal data may be shared with third parties on the following grounds:
– In the context of a merger or acquisition of all or part of Alkemics by a third party, which you accept;
– In response to judicial or administrative proceedings of all kind or to law enforcement actions requested by competent authorities;
– To comply with legally binding obligations, to protect the rights and/or security of an individual, to protect the rights and property of Alkemics, including the need to comply with this Policy and to prevent fraud, security or technical issues.

6 – Data retention

Alkemics retains your personal data as long as necessary to carry out the purposes for which they were collected and processed. Alkemics may however retain your personal data for a longer duration to comply with legally binding obligations and especially with the applicable limitation periods.


In order to define an adequate duration for data retention, Alkemics especially uses the following criteria:

The data related to your use of the Services and your payments are retained throughout the duration of the use of the Services and/or contractual relationship, and then in accordance with the applicable limitation periods;

When you agreed to receive commercial market researches, Alkemics will retain your data until you say you want to stop receiving communications or after a period of inactivity defined in accordance with applicable law;

When your data are collected in the context of requests/questions related to the Website and Services of Alkemics, Alkemics retains these data for the duration necessary to the processing of those requests;

The files of the candidates are retained for 13 months following the last contact with those candidates, unless they agreed on a longer retention period; beyond that, the data are filed in accordance with the applicable limitation periods;

When cookies or other trackers are left on your terminal, they are retained according to legally binding obligations and guidelines issued by the authorities (that is 13 months in France for the cookies and trackers that are not fundamental for the functioning of the Website/our Services).

7 – Cookies

You are notified that cookies may be installed on your browser software when you visit our Website/use our Services particularly to provide you with optimum browsing quality. Cookies are data stored in the terminal equipment of an internet user.

Alkemics also uses invisible pixel tag to transfer the data transmitted by the Website/Services to Alkemics’ servers. Information thus collected is stored in our databases.

Cookies and other trackers do not allow under any circumstances to automatically access another file of your computer. Furthermore, no non-authorized third party can access the data stored inside of the cookie. However, we may use technologies provided by third parties that result in the deposit and use of trackers for purposes specific to those actors.

There are two types of cookies:

Persistent cookies are stored for a longer period of time and stay filed on your computer after you visited the Website.

We do not use and keep you IP address for targeting purposes.

We do not collect any material usernames such as UDid, MAC address (physical username kept in a network card or a network interface). We do not collect any sensitive information (religion, political opinion, etc…).

We do not create sections to specifically target children under 13 years.

8 – Security

Alkemics undertakes to implement appropriate technical and organizational measures to ensure that personal data of any Users are protected, private and secure, in accordance with legal requirements and especially the Act of 6 January 1978 on Information Technology, Data Files and Civil Liberties (as amended in 2004, as well as any law or regulation that would amend it in the future) and the Regulation (EU) 2016/679 on the protection of natural persons with regard to the processing of personal data (“GDPR”).

Alkemics attaches great importance to the security of your information. We implemented security measures consistent with industry standards that include the use of encryption and firewall.

9 – Transfer of data

Alkemics may communicate your personal data to subsidiaries, providers or other third parties that may be registered abroad and especially outside of the European Economic Area.

Therefore, Alkemics shall require them to take all organizational and technical measures that would ensure an appropriate level of protection of your personal data in accordance with existing legislations.

10 – Rights of data subjects

In accordance with applicable law regarding personal data protection, you are entitled to a number of rights regarding the collect and processing of your personal data:


Right to be informed: You have the right to be informed in a concise, transparent, understandable and in an easily accessible manner of the way your personal data is processed;

Right of access: You have the right to obtain confirmation as to whether or not personal data concerning you are being processed and, where that is the case, access to the personal data and obtain a copy of them;

Right to rectification: You have the right to obtain the rectification of inaccurate personal data concerning you. You also have the right to have incomplete personal data completed, including by means of providing a supplementary statement;

Right to erasure: In some cases, you have the right to obtain the erasure of your personal data. However, it is not an absolute right and Alkemics may have legal or legitimate grounds to retain this data;

Right to restriction of processing: In some cases, you have the right to obtain restriction of processing of your personal data;

Right to data portability: You have the right to receive the personal data concerning you, which you provided to Alkemics, in a structured, commonly used and machine-readable format and have the right to transmit those data to another controller without hindrance from Alkemics. This right only applies when processing of your personal data is based on your consent or on a contract and when this processing is carried out by automated means;

Right to object: You have the right to object, on grounds relating to your particular situation, at any time, to processing of personal data concerning you when this processing is based on the legitimate interest of Alkemics. However, Alkemics may demonstrate compelling legitimate grounds for the processing. When your personal data are processed for marketing purposes, you have the right to object at any time to the processing of the data. You may especially benefit from this right by clicking this “unsubscribe” link available at the bottom of the messages received.

Right to lodge a complaint with a supervisory authority: You have the right to contact the CNIL in order to lodge a complaint regarding practices of Alkemics relating to the protection of personal data.

Right to transmit instructions regarding the use of these data after death: You have the right to provide Alkemics with instructions regarding the use of your personal data after your death.

11 – Amendments to our policy

Please note that we may update or amend this Policy. In the event of a revision, we will publish those amendments on this page and where we deemed appropriate to inform you on information we collect, how we use it and, where appropriate, under what circumstances we disclose it. Should this Policy be amended, the “last updated” date will be updated and will show the day the amendments were adopted. You are responsible for checking for any updates of this Policy. If there are amendments Alkemics deems important, you will be informed through the Website.
